Survey123 for Annual Conference Sessions

Hello, @board-of-directors!

An idea was put forth a the latest Professional Development Committee meeting that I would like to put to the board as a whole.

The Idea

For session questions, particularly for panel discussions, could we use Survey123 to solicit questions from the audience?

Before the panel starts, a survey link would be on the screen, or on small handouts, as a QR code. Audience members would have the chance to submit questions to the panel, possibly anonymously.

The session moderator would need some kind of read-only access to these questions, in order to field the questions to the panelists as they come in. Perhaps an auto-updating dashboard?

Extending: One survey, multiple panels / sessions?

If one of the fields in the survey tied the response to a session (using a hidden field baked in by the QR code), it’s possible we could use the same survey to collect audience questions from any panel, or even regular sessions and workshops, if we wanted.

It’s actually something I already do for the webinar series, to collect feedback at the end of the presentation. I just create a new QR code for each webinar that bakes the session ID into it so that the response is associated with the specific session.

This is in the ILGISA AGOL account:

Replicating this for audience questions would be fairly straightforward.

Feedback?

On that note, did we want to collect feedback this way, too? My session feedback dashboard is already set up, and could easily be used for in-person presentations as well.

If we wanted to pursue this for either / both, I’m happy to set it up and generate all the QR codes, it’s a pretty simple python script.

I think that’s a great idea, so many people likely have a question, but might forget through the presentation, or don’t get around to asking, etc. The feedback survey done the same as the webinar series also sounds great to me.

Unanswered questions from the session could spill over to a forum post, too, to keep the conversations going.

@kddarby25 what do you think about this? I know it’s pretty late in the game, but I could fairly easily take the agenda spreadsheet and auto-generate links and QR codes for any / all sessions at the conference, just a bit of Python.

Even if people don’t use them, it might be nice to offer folks an easier method of soliciting audience questions and / or session feedback.

As an example, I took Meagan Briganti’s session and made an entry for it, then generated the following:

And it comes with its own URL to the session moderation dashboard that either the speaker or moderator could watch for updates. Has a mobile view, too.

Hi Josh,

Let’s try this in a couple of sessions to see how it works. If it is successful, we can try to implement this next year. Thanks!

Sounds great. I’ll volunteer my own sessions for it. I may at least reach out to the various panels, too, to offer the “submit a question” form.
