Committee Meeting Minutes

hey @mgaleher where is the repository for all the committees meeting minutes?

I found the Board meeting minutes on the website but nothing for committees. The professional development committee notes are under each meeting post in discourse and that is helpful.

Hi @MeaganB - I don’t sit in on Committee meetings anymore (other than Program before the Conference), so I don’t manage the minutes/meeting notes. I think each committee chair saves notes for their committee - I’m not aware of a centralized place. Looping in @llee to see if she has further insight.

The only centralized place I am aware of would be what’s included in the Board minutes.

I was actually shocked to see that what the committee chairs send in before the board meetings do not get attached to the board minutes on the main site.

I guess that’s on me for never checking before. :sweat_smile:

But still: these things exist, and committees regularly submit them in advance of the board meeting. It seems kind of odd not to keep those attachments somewhere. I often wonder how much ILGISA business is just sitting in someone’s email archives somewhere, and no place else…

Ok - I see what you’re saying now. Maybe I could do a posting of the Agendas as well since that has the attachments. I was just following on what had been posted before when I took over the website. But yes, prior to this incarnation of the website, and before my time on the board, there might be a lot sitting in people’s emails. And also, not everyone submits attachments, some are just verbal reports.

I’ve done my share of verbal-only reports, so I get that. And often the Secretary’s notes are adequate for a general picture of what a committee does. But if we have the files, it certainly can’t hurt to put them out there.

If our bylaws don’t specify otherwise, do we fall back to what the state statutes say? I think there’s a line in there saying we’re supposed to keep records of our minutes.

If there was greater adoption of the forum, at least by the Board and Committees, the minutes could be directly under the meeting topic. The chair can lock the topic at the end of the meeting, so no further edits are made outside of the meeting. Then it would make your job easier by being able to simply link to those topics within the Board agenda topic post on discourse. I realize we are power users on discourse, but I would love to show you how it could work by showing you our discourse.
